Booking Conditions

Important Information

Please read these carefully as the person making this booking accepts all the terms and conditions of IJ Travel Tours on behalf of all persons named in the booking.

⚠️ IMPORTANT NOTICE:

DEPOSITS & TICKETS ARE NEITHER REFUNDABLE NOR CHANGEABLE

Unless specified, all deposits paid and tickets purchased/issued are non-refundable. In case of cancellation or no show, bookings/tickets are non-transferable and name changes are not permitted. Any changes to bookings will incur additional fees as charged by the airline or service provider plus an administrative fee of £35 per change.

1. Making a Booking

When you make a booking with IJ Travel Tours, you confirm that you have the authority to accept these terms and conditions on behalf of all persons named in the booking. A contract exists between you and IJ Travel Tours once we have issued a booking confirmation and received the required deposit or full payment.

2. Deposits & Payments

If you are reserving a flight by making an advance partial payment, please note that fare/taxes may increase without prior notice. The price is not guaranteed until the ticket is issued. We always recommend you pay ASAP to avoid this situation.

Deposit Requirements

  • Standard Deposit: £50 per person for most flight bookings
  • Package Holidays: 20% of total package price
  • Last Minute Bookings: Full payment required at time of booking
  • Group Bookings (10+): Higher deposit may be required

Final Payment

Final payment is due no later than 10 weeks before departure unless otherwise specified. If final payment is not received by the due date, we reserve the right to cancel your booking and retain the deposit.

Payment Methods

  • Credit/Debit Cards (Visa, Mastercard, Amex)
  • Bank Transfer (BACS/CHAPS)
  • Cash (in-person only)
Note: If you cancel your reservation, the paid deposit(s) will be non-refundable. Credit card processing fees (typically 2-3%) are non-refundable.

3. Checking Flight Details

It is your responsibility to check all details are correct immediately upon receiving your booking confirmation and final documents. You must verify:

Passenger names match passport
Travelling dates
Transit time & layovers
Origin & destination airports
Stop overs
Baggage allowance
Seat preferences
Meal preferences
⚠️ CRITICAL: Once the ticket is issued, no changes can be made to passenger names unless specified by the airline. Name corrections may incur fees up to £150 per ticket.

4. Passport, Visa & Immigration

You are solely responsible for checking all entry requirements for your destination(s), including transit countries. You must consult with the relevant Embassy/Consulate well before departure (at least 6-8 weeks in advance).

  • Your passport must be valid for at least 6 months beyond your intended return date
  • Sufficient blank pages for entry/exit stamps (typically 2–4 pages)
  • Passport must be in good condition (no damage, tears, or water damage)
  • Check visa requirements for your destination country
  • Apply for visas well in advance (processing can take 2-8 weeks)
  • Some countries require transit visas even if not leaving the airport
  • Visa on arrival is not available for all nationalities/destinations
  • Check required and recommended vaccinations
  • COVID-19 requirements (testing, vaccination certificates, etc.)
  • Yellow fever certificates may be required for certain countries
  • Prescription medications: carry in original packaging with doctor's letter
⚠️ IMPORTANT: We cannot accept liability for transit visa issues or if you are refused to board the flight or cannot clear immigration. No refunds will be provided for missed flights due to documentation issues.

5. Reconfirming Flights

It is the traveler's responsibility to reconfirm flights at least 72 hours before departure with your travel agent or the airline directly.

Flight schedules can change due to:

  • Airline operational changes
  • Weather conditions
  • Air traffic control restrictions
  • Technical issues

6. Insurance & Baggage

We strongly recommend purchasing comprehensive travel insurance at the time of booking. Your insurance should cover:

Medical expenses (£2M+)
Emergency evacuation
Trip cancellation
Trip interruption/delay
Baggage loss/damage
Personal liability
Adventure activities
Baggage Note: We do not accept claims for lost/stolen/damaged baggage. Contact the airline directly. Keep valuables and medications in your carry-on luggage.

7. Special Requests

If you have special requests (meal preference, seat allocation, wheelchair request, assistance needs, bassinet for infant, etc.), please advise us at the time of ticket issuance. We will try our best to fulfill these but cannot guarantee as these are subject to airline availability.

Medical Assistance

  • Wheelchair assistance: 48 hours notice
  • Medical oxygen: 14 days notice
  • PRM notify at time of booking

Dietary Requirements

  • Vegetarian, Vegan, Kosher, Halal
  • Gluten-free, Diabetic meals
  • Request 24-72 hours before departure

8. COVID-19

Due to COVID-19, additional entry requirements have been introduced globally. You are responsible for checking and conforming with entry and exit requirements for all countries on your itinerary.

Recommendation: Book flexible fares when possible, and ensure your travel insurance covers COVID-related disruptions.

9. Flight Delays, Cancellations & Denied Boarding

Under UK law (retained EU Regulation 261/2004), you may be entitled to compensation.

Up to 1,500 km £220 per passenger
1,500 - 3,500 km £350 per passenger
3,500+ km £520 per passenger

10. Limitation of Liability

IJ Travel Tours does not accept responsibility for any loss if the airline fails to operate due to unforeseen circumstances including weather, natural disasters, war, terrorism, strikes, or technical issues.

⚠️ DISCLAIMER: Our total liability for any claim arising from your booking is limited to the total amount paid to us for that booking. We are not liable for any indirect, consequential, or special damages.

11. Force Majeure

Neither party shall be liable for any failure or delay in performance due to circumstances beyond their reasonable control, including acts of God, war, terrorism, strikes, government orders, pandemics, or utility failures.

13. Governing Law

These Booking Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or your booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Additional Fees
